Cancellation and rescheduling

Free Cancellation & Rescheduling (48 Hours)

You may cancel or reschedule your booking free of charge with at least 48 hours’ notice prior to the scheduled start time of your activity.

Cancellations or rescheduling requests made less than 48 hours before the activity start time are non-refundable and non-transferable.

All cancellation and rescheduling requests must be submitted in writing via WhatsApp or email.

Late Cancellations & No-Shows

Bookings cancelled with less than 48 hours’ notice, as well as no-shows or late arrivals that prevent participation, are not eligible for refund or rescheduling.

Weather & Environmental Conditions

Outdoor activities are subject to weather and environmental conditions.

Rio Mountain Sports reserves the sole right to determine whether conditions are safe and appropriate for the activity to proceed. This assessment may take into account factors such as rain, lightning, wind, rock conditions, park regulations, or other safety-related considerations.

If Rio Mountain Sports determines that conditions are unsafe or unsuitable, the activity will be:

  • Rescheduled to a mutually agreed date, or

  • Refunded in full, according to the client’s preference.

Conditions Based on Personal Preference

Activities will not be cancelled or rescheduled due to weather or environmental conditions that are considered safe by Rio Mountain Sports, even if such conditions are not aligned with a participant’s personal preference.

Guide or Operational Cancellations

In the rare event that Rio Mountain Sports must cancel an activity due to guide illness, emergency, or unforeseen operational circumstances, clients will be offered the option to reschedule or receive a full refund.


Assumption of risk

Participation in outdoor adventure activities involves inherent risks. By booking and participating in our activities, you acknowledge and accept these risks.

Rock climbing, hiking, scrambling, abseiling, and other mountain activities may involve hazards including, but not limited to:

  • Slips, trips, and falls

  • Falling rocks or natural debris

  • Equipment failure

  • Weather changes

  • Exposure to heights

  • Physical exertion and fatigue

  • Uneven terrain

  • Actions or omissions of other participants

These risks may result in injury, illness, property damage, emotional distress, or, in rare cases, serious injury or death.

By participating, you confirm that:

  • You understand the inherent risks associated with these activities.

  • You voluntarily choose to participate.

  • You are physically and mentally fit for the activity you have booked.

  • You will follow all instructions provided by our guides.

  • You will inform us of any relevant medical conditions prior to the activity.

You acknowledge that our guides are trained professionals and take reasonable measures to promote safety; however, risks cannot be eliminated entirely.

To the fullest extent permitted by law, you assume responsibility for the inherent risks associated with participation in outdoor adventure activities.


Participant responsibilities

Participation in outdoor adventure activities requires active cooperation between participants and guides. In addition to acknowledging and accepting the inherent risks described in the Assumption of Risk section, you agree to the following responsibilities:

Assess Your Suitability

You are responsible for reviewing the physical and technical requirements of the activity and for objectively assessing whether you meet those requirements. If you are uncertain about your suitability, you must contact Rio Mountain Sports prior to booking. By proceeding with a booking, you confirm that you believe yourself capable of safely participating.

Arrive on Time

Start times are carefully selected based on environmental conditions, route timing, park regulations, and safety considerations. Late arrival may result in reduced activity time, altered plans, or the inability to participate. Participants who arrive late may be denied participation without refund.

Arrive in Appropriate Physical Condition

You must arrive adequately rested and physically prepared for the activity. Participation under the influence of alcohol, recreational drugs, or in a state of significant fatigue is incompatible with safe outdoor activity. Rio Mountain Sports reserves the right to refuse participation without refund if a participant appears unfit to safely engage in the activity.

Arrive Properly Equipped

You are responsible for bringing the required clothing and personal items outlined in your confirmation email. Failure to arrive properly prepared may limit or prevent participation.

If you provide your own equipment, you are solely responsible for ensuring that it is appropriate for its intended use and in safe, serviceable condition.

Follow Guide Instructions

You agree to follow all instructions provided by your guide. Guides may require you to learn and apply specific safety procedures. Failure to follow guide instructions may result in modification or termination of your participation without refund.

Participate Within Your Limits

You are responsible for participating at a level and pace consistent with your physical and emotional readiness. You must promptly inform your guide if you require rest, assistance, or wish to modify your level of participation.

If you request to lead a pitch while rock climbing, you must obtain the guide’s approval. Your guide retains sole discretion to deny such requests. Even with approval, you acknowledge that lead climbing involves additional inherent risks, which you voluntarily assume.

Communicate Safety Concerns

You must promptly inform your guide of any injury, illness, equipment concern, or safety issue that arises before or during the activity.

Care for Equipment

You agree to handle all provided equipment responsibly. Participants may be held financially responsible for equipment lost or damaged due to negligence, misuse, or failure to follow guide instructions.

Rio Mountain Sports and its guides reserve the right to modify, cancel, or terminate an activity without refund if a participant fails to meet the responsibilities outlined above or engages in conduct that compromises safety.


If you are making a booking on behalf of other participants, you confirm that you have obtained their agreement to these Terms and Conditions and that you have the authority to accept them on their behalf. You agree that all participants in your booking are bound by these Terms.
